Many organisations across Australia still depend on systems built decades ago. These platforms once did the job, but they now act as barriers to growth.

They are costly to maintain, difficult to scale, and risky to secure. More importantly, they can no longer keep pace with the expectations of staff and customers.

Legacy systems can:

  • Create hidden costs through constant maintenance
  • Slow down operations with outdated processes
  • Limit integration with newer tools and platforms
  • Increase compliance and security risks
  • Prevent teams from innovating.

Modernising or replacing these systems is not just about technology. It’s about enabling organisations to operate more efficiently and make better decisions with reliable data.

When custom software is the answer

There are many off-the-shelf products on the market, but they often require organisations to change how they work to fit the software. This can add complexity instead of removing it.

Custom software allows organisations to:

  • Preserve business-critical processes while improving them
  • Integrate seamlessly with other tools
  • Build in security and compliance from the start
  • Scale as the business grows
  • Provide a better user experience for staff and customers.

By designing around the way a business actually works, custom software modernisation removes the limitations of legacy systems while opening the door to new capabilities.

Case study: ESTA’s fire alarm management system

The Emergency Services Telecommunications Authority (ESTA) is a critical link between the Victorian community and the state’s emergency services. ESTA manages call-taking and dispatch for police, fire, ambulance and SES, as well as operational communications for emergency services across Victoria.

One of ESTA’s responsibilities is managing more than 12,000 automatic fire alarms across the state. Previously, there was no single repository for the alarm data. Instead, three monitoring companies sent separate spreadsheets to ESTA’s Fire Alarm Services Manager. The process of filtering and reconciling data created significant governance and audit challenges, as well as delays in monthly reporting.

ESTA partnered with Kiandra to replace this legacy approach with a modern, centralised system. The new platform:

  • Consolidated all fire alarm data into one reliable source
  • Automated invoicing and activity tracking
  • Delivered transparent governance and reporting
  • Improved efficiency and reduced administrative effort.

The outcome was so successful that ESTA’s executive team called it “the only project to deliver 100%”.

The risk of doing nothing

Some organisations delay replacing legacy systems because the existing setup still “works”. But the cost of inaction can be higher than expected:

  • Security vulnerabilities become harder to patch
  • Maintenance costs rise as skills to support old systems disappear
  • Compliance risks increase with outdated reporting
  • Staff become frustrated with inefficient tools
  • Customers notice when services fall behind competitors.

Replacing legacy systems is an investment in reducing these risks while creating new opportunities.

Software without security is a disaster waiting to happen

Not long ago, many businesses only considered security after a breach occurred. Today, that approach is too risky. Security needs to be designed into software from the very beginning and treated as a non-negotiable part of the software development life cycle.
